The problem: Inefficient collaboration with email
Before discovering External Share for Confluence, Artigiano del Software relied on emails to share documents like contracts, quotes, or project descriptions. Fabio emphasized that email, while universally used, often created confusion over document versions, led to redundant workflows, and increased the risk of errors in documents. “Email is the worst repository used to share information,” Fabio stated, highlighting the inefficiency of tracking updates and ensuring accuracy through this medium. “Every time it felt like restarting the process”, Fabio explained, as the wrong version of a document could cause delays and misunderstandings.
Finding the solution: External Share for Confluence
Motivated to find an efficient alternative, Fabio and his team explored various options. Being, as he called it, “addicts” to Atlassian tools, they turned to the Atlassian Marketplace, where they discovered External Share for Confluence.
Fabio highlighted several advantages of using the External Share for Confluence app:

Single source of truth: Maintaining a single, up-to-date version of a document shared externally is easy - with just a few clicks updates are immediately visible to external collaborators.

Seamless collaboration: External users can be allowed to comment or even edit shared pages, ensuring real-time collaboration.

Cross-platform compatibility: External users can access shared documents regardless of their internal policies or operating system - Mac, Windows, or Linux - everything they need is any browser and internet connection.

Security and control: The tool allows to password-protect shared documents, or implement SSO.

Visibility into document activity: The ability to see when a user has already viewed or commented on a document facilitates timely follow-ups and ensures accountability.

Adaptable Sharing: Extending link expiration dates gives customers flexibility in reviewing documents at their own pace.
Artigiano del Software piloted the app with two customers, to fully understand the app and refine their approach. Today, they can set up the whole configuration in no time. On the unique Confluence space, each customer has a dedicated page (with subpages). All quotes, contracts, and documentation is then easily shared with customers.
The app has become an indispensable part of their workflow. Fabio emphasized, “Now, External Share for Confluence is a part of our organization. Going back to sharing documents via email feels impossible.”
Opportunities for Improvement
Fabio expressed enthusiasm for further integrations, especially with video tools like Vimeo, Rumble, or Loom. At Warsaw Dynamics, we strongly believe in video messages - Loom is already integrated into External Share, supporting video-driven communication.
